Mind Engage — Mobile App and Website

Effective date: 10 October 2026
Last updated: 10 October 2026

This Privacy Policy explains what personal information the Mind Engage mobile app (“the app”) and the website mindengage.com (“the website”) collect, why we collect it, who we share it with, how we protect it, and the choices and rights you have.

Mind Engage is operated by Halersoft LLC, 651 N broad st Middletown Delaware 19709 (“Mind Engage”, “we”, “us”).

If you have any questions, contact us at  info@mindengage.com.

1. Summary

• We collect only what we need to run the app: your account details, journal entries, chat messages, optional mood and onboarding answers, and optional profile picture.
• We do not sell your data, show ads, or use advertising or tracking tools.
• Some features use artificial intelligence (AI). To generate chat replies and, only when you ask, journal summaries, we send the relevant text to our AI provider, DeepSeek. See Section 5: How AI Features Use Your Data.
• Mind Engage is a wellbeing support tool, not a medical or emergency service. See Section 13.
• You can view, correct, and delete your data, and delete your account at any time. See Sections 10 and 11.

2. Information We Collect

2.1 Information You Give Us

Information — When — Why
Full name and email address — When you create an account — To create and secure your account, sign you in, and personalize the app.
Password — When you create an account — To sign you in. We never store your password itself; we store only a secure, one-way hash.
Onboarding answers — During setup — To personalize your experience and AI replies. These include who the support is for (individual, couple, or teen), what you want support with, and how you would like to feel.
Journal entries — When you save an entry — To store your journal and display it to you. Entries may include your writing, the prompt you answered, your optional mood, and the date.
AI journal summaries — When you select “Create summary” or “Update summary” — To provide a short reflection on a day’s entries.
Chat messages and AI replies — When you use Chat — To provide AI support replies and maintain your conversation history.
Profile picture (optional) — When you choose one in Edit Profile — To display your picture in the app.
Messages you send us — When you contact us, for example by email — To respond to your questions or requests.

Health-related information

Journal entries, moods, onboarding answers, and chat messages can reveal information about your mental and emotional health. We treat this information as sensitive. We use it only to provide the features you use, never for advertising, and never sell it.

2.2 Information Collected Automatically

Information: Why
Technical and security logs: These may include request dates and times, request types, and IP addresses recorded by our hosting provider. We use them to keep the service working, prevent abuse, and fix problems. Our own logs record account identifiers and technical results only; they never contain journal entries or chat messages.
AI feature usage records: We record which AI feature was used and how much processing it required, without recording the text, to monitor reliability and cost.

We do not use advertising identifiers, in-app cookies, analytics or tracking SDKs, or location data.

2.3 Information Stored Only on Your Device

To make the app work smoothly, some information is stored on your phone:

• Your sign-in token, kept in your device’s secure, encrypted storage.
• A copy of your basic profile, including your name, email, and picture link, so the app opens quickly.
• An unsent journal draft, so you do not lose your writing if the app closes or saving fails. It is removed once the entry is saved.
• Whether you have agreed to AI journal summaries on that device.

This information is removed when you uninstall the app or clear its data. Depending on your phone’s settings, your device’s backup service may include some app data.

3. Device Permissions

Permission — When It Is Used — Notes
Photos — When you tap “Change photo” to choose a profile picture — On recent Android versions, the system photo picker is used, sharing only the photo you select. You can deny or revoke access in your phone’s settings; the rest of the app will continue to work.
Internet — When connecting to our servers — Required for the app to work.
Background audio playback — When playing calming sounds while the app is in the background — Used only for playback. The app does not use your microphone or camera.

4. How We Use Your Information

We use your information to:

1. Provide the app: Create your account, store your journal and chat history, and display them to you.
2. Personalize support: Tailor AI replies and summaries to your onboarding answers and first name.
3. Provide AI features: See Section 5.
4. Keep the service safe and working: Prevent abuse, fix errors, and protect accounts.
5. Provide safety information: If your messages or entries contain words suggesting you may be in crisis, the app displays fixed, pre-written guidance about where to get help. This check is automatic and is not reviewed by a person.
6. Communicate with you: Contact you about your account or changes to this policy. We do not send marketing messages unless you agree to them.

We do not use your journal entries, chat messages, or other health-related information for advertising, marketing profiling, or selling to anyone.

Legal bases for users in the EU/EEA and UK

We process your data to provide the service you requested (contract), with your explicit consent for health-related information, AI journal summaries, and your profile picture, and based on our legitimate interests in keeping the service secure.

You can withdraw consent at any time. See Section 11.

Important: Confirm these legal bases with your lawyer before publishing.

5. How AI Features Use Your Data

Mind Engage uses DeepSeek, a company based in China, as its AI provider.

Feature — What Is Sent to DeepSeek — What Is Never Sent
Chat replies — Your new message, up to the 20 preceding messages in that conversation, your first name, and your onboarding answers (audience, focus, and goal). — Your email, password, profile picture, account ID, journal entries, and other conversations.
Journal summaries — Only when you tap “Create summary”, “Update summary”, or “Try again”: the text, mood, and prompt of that day’s journal entries. — Your name, email, password, profile picture, account ID, chat messages, and entries from other days.

Additional Information About AI

• Crisis messages: If a chat message contains words suggesting a crisis, the app responds with fixed safety guidance without sending that message to the AI.
• Summaries are optional: Nothing is summarized automatically. The first time you create a summary on a device, the app asks for your agreement. Each time, it reminds you that your entries are sent to our AI provider.
• AI replies can be wrong: Replies are generated automatically and are not reviewed by a person. They are not medical advice.
• AI provider’s data handling: DeepSeek processes data to generate responses and handles it under its own terms and privacy policy. You can visit DeepSeek’s website (https://www.deepseek.com/). Before publishing, confirm DeepSeek’s current data-retention and training terms specifically for API use, and explain them here.
• International data transfers: Because DeepSeek is based in China, data sent to it is transferred outside your country. Describe the applicable safeguards after legal review.

6. Who We Share Information With

We share personal information only with service providers that help us operate Mind Engage, and only as needed for those purposes.

We do not sell or rent your personal information, and we do not share it with advertisers or data brokers.

7. Your Profile Picture

If you add a profile picture, it is stored on our servers and displayed in the app.

The picture is accessible through a long, random web link. Anyone who has that exact link could view it. We do not publish the link.

You can replace your picture at any time through Edit Profile.

8. How We Protect Your Information

Mind Engage is not end-to-end encrypted. Our servers process your data to provide app features, including AI features.

No method of storage or transmission is completely secure. We will notify you and the relevant authorities of a data breach where required by law.
